Event Reports can easily be configured with QualityKick. Depending on the different Event Types that have been created within your system you can decide to set up one standard report that will serve for all Event Types, or configure a different Event Report for each Event Type.
Thanks to the integration between modules, the Document Control Module will facilitate the configuration of Event Reports.
Event Reports can be created based on Document Types or Documents. The difference between the two is that a Document Type has not gone through an Approval Cycle whereas a Report template based on a Published Document will have gone through an entire Approval Cycle.
Create and design the Word template
Open Word and create the Document that will serve as the basis for your Event Report.
Give the Document the layout and design you want for it to have.
Adding variables to the Report
The Event variables can be found, among other places, in Event Module Settings:
- Go to Events > Module Settings.
- Click on PDF template configuration.
- Click on the link to Event variables.
The Variables for Events window will appear. The variables are divided into:
- Variables for default fields. These are all the variables that are default fields within QualityKick
- Variables for custom fields. These variables correspond to all the Custom Fields created specifically by your own organization.
Copy the variables you wish to use from the list above. Make sure you copy everything - from the $ sign to the last bracket.
Paste the variables in the Document in the position in which you want it to appear.
Giving format to the variables
Variables can be given format, just as regular text in a Word document.
The needed format, for example bold, italic, or underscore, is to be given to the variable in the Word template, then when the variable is finally prepopulated with the information introduced in the system, the variable will be shown in the format given to them in the Word template.
If the variable is to be a heading, select the variable and give it the intended heading format.
Uploading the template to QualityKick
Once the template has been configured and saved in Word, then it is to be uploaded to Document Control as a template to a Document Type.
Basing the Report on a Document Type or a Document
If it is sufficient to use a Document Type as the basis for the Event Report then no other actions need to be taken. Select the preconfigured Document Type as the basis for the Event Report either in Module Settings or when creating an Event Type.
If you wish for Event Reports to be based on a Document that has been approved then a Document must be created, based on the Document Type. The Document must be pushed through an entire Approval Cycle until it reaches Published Status. Once Published it can be selected to serve as the basis for the Event Report either in Module Settings or when creating an Event Type.
- If needed, a specific report can be configured for each Event Type
- If files have been uploaded to the Event, then the Event Report will be a zip file including the Event Report in PDF as well as the uploaded files.
